Volunteer Events Assistant
Main Purpose of the Job
Assisting the Events Co-ordinator and Events Assistant in the delivery of a calendar of events.
Key Responsibilities & Activities
The post-holder will be responsible for the assistance in planning, co-ordinating and administration of a number of events and projects, dealing with venue logistics through to marketing and PR. Working alongside other staff, trustees and volunteers.
Event Co-ordination- Identify requirements with the Development/Office Manager over a range of activities including our Annual Conference
- Delivery of events plan to timescale
- Logistical work including booking venues, liaising with suppliers, sourcing services
- Manage and organise volunteer support
- Continually monitor and evaluate workload, communicating to the line manager any deadlines that are not on track for completion
- Practice consistently high levels of customer relationship management both internally and externally to mutual value
- Working with the Development/Office Manager to develop promotional strategies for projects and events that maximises awareness and uptake whilst minimising costs
- Maximise take-up of events through effective marketing plans and partnership working, including writing press releases, promotional letters, designing flyers, website management, delivering leaflets, etc
- Take and respond to telephone and email enquiries / requests
- Logistical work including booking venues, liaising with suppliers, sourcing services
- Provide clear communication channels as to what has been achieved and what is still to do at every stage
- Work as a team to deliver outputs
- Effectively work with staff, volunteers and Trust members ensuring high standards and professionalism are maintained
- Good English and Maths GCSE or above
- Ability to demonstrate skills in effectively co-ordinating a range of projects or events, negotiation, delegation and monitoring
- Substantial organisational and planning skills
- Issues affecting charities or voluntary organisations would be of benefit, including a good understanding of equality and diversity
- An interest in or commitment to social inclusion issues
- Ability to work to deadlines with commitment to the task and flexibility towards working hours
- Confident and professional approach
- Highly motivated self-starter with initiative and drive, and the ability to work with the minimum of supervision
- Enthusiasm and resilience to cope with potentially heavy workload and competing demands
